UpScale is CredAble's invoicing product for small business owners in India. Most of these owners were running their invoicing across five disconnected tools: Excel to create, WhatsApp to follow up, Tally to account, a government portal to comply. Nothing talked to each other, and payments fell through the cracks as a result. I was the designer on the team, working alongside our PMs and developers, and I designed one connected system covering creation, sending, follow-up, payment collection, and compliance, across desktop and mobile.

I designed one connected system covering creation, sending, follow-up, payment collection, and compliance, solo, end to end, across desktop and mobile. Invoice creation got faster, follow-ups stopped depending on memory, and owners could finally work from a single screen.

CONTEXT

The invoice was everywhere - and nowhere

Small business owners in India were managing invoices across a messy stack of tools: Excel or Word for creating invoices, WhatsApp or phone calls for following up on payments, Tally for accounting, and the government portal for GST compliance. None of these talked to each other.

The result? Payments got forgotten. Reminders happened or didn't based on memory. Tracking was a spreadsheet someone may or may not have updated. For business owners already stretched thin, the cognitive overhead was enormous.

How might we design an invoicing experience that covers the full payment cycle, not just the invoice creation step?

Cash was tight and getting tighter. In this climate, every hour lost to a broken invoicing process wasn't a productivity nuisance — it was money an SME couldn't afford to be waiting on.

Problem - The messy stack drains time and cash.

The invoice lifecycle

Invoices are workflows, not forms.

A better input field doesn't fix a broken process. The pain lives in the gaps between creation and compliance.

The core insight wasn't that people needed a better form. It was that they needed a system.

Invoice creation was step one of a five-step problem. I needed to design all five as one connected flow, not five separate features.

SOLUTION

  1. Smart Invoice Creation

PROBLEM

Creating even a simple invoice meant switching between tools, re-entering client and product details, and calculating taxes manually, every single time.

WHAT I DESIGNED

A step-by-step creation flow (client → items → tax → summary) that felt like a guided process, not a blank form. Auto-fill pulled saved clients and products. Repeat invoices could be cloned in one click.

  1. Send + Follow-Up in One Flow

PROBLEM

Sending an invoice and following up on it were two separate mental tasks. Owners sent via WhatsApp, then had to remember to follow up three days later. Most didn't.

WHAT I DESIGNED

Merged sending and reminder scheduling into a single step. After composing the invoice, users pick their delivery channel and set automatic follow-up timing, before they hit send.

  1. Built-in UPI Payment Collection

PROBLEM

Even when an invoice arrived, payment required separate steps - finding the UPI ID, opening a payment app, making the transfer. Friction at the last mile meant delayed payments.

WHAT I DESIGNED

Embedded a UPI QR code directly inside the invoice, both the digital version and the PDF export. The recipient could scan and pay without leaving the invoice view.

  1. GST Compliance - Hidden Inside the Workflow

PROBLEM

GST and e-invoice compliance meant exporting from the invoicing tool, logging into the government portal, and manually converting, a separate workflow most people dreaded or skipped.

WHAT I DESIGNED

A guided GST conversion flow inside the platform. Owners connect their government e-invoice account once during setup; from then on, compliant conversion happens inside UpScale, no external portal required.

05 · Tally Migration - Zero Friction Onboarding

PROBLEM

Many SMEs had months or years of invoice history in Tally. Asking them to abandon that history to adopt a new tool was a hard sell.

WHAT I DESIGNED

A one-time Tally connection flow that imported existing invoice data into UpScale automatically. Owners set it up once; their history followed them in.

MOBILE EXPERIENCE

Owners work on their phones. So does UpScale.

Research showed owners were already trying to track invoices on mobile — even when the tools weren't designed for it. I designed a full mobile experience across creation, tracking, and reminders:

  • Simplified creation steps on small screens

  • At-a-glance payment status on the invoice list

  • One-tap reminder management

DESIGN FOCUS

Speed and clarity. Dense data tables don't work on a 6-inch screen while someone's waiting for a client call. Everything was sized and sequenced for fast scanning.

REFLECTION

Invoices aren't forms - they're workflows.

We realised the real problem wasn’t only invoice creation. It was everything around it - sending, follow-ups, payments, and compliance. So we designed it like a workflow, not just a form.

Compliance works when it's invisible.

Users avoided GST tasks when it felt like extra work. Once compliance became part of the normal flow, it felt easier and adoption improved.

Automation beats reminders.

Users didn’t want more reminders. They wanted the system to handle follow-ups for them. Automating reminders made the process more consistent.

Speed is a design value.

For SME owners, time is limited. The best design choice was not adding more features, but helping them finish important tasks faster.
